Observation and Report Writing

Observation and Report Writing

Elements required for documentation to be complete:

  1. Who – What people were involved in the incident.
  2. What – What happened or occurred.
  3. When – When did it happen (Time and Date)
  4. Where – What physical location did the incident occur. (Address)
  5. How – Describe how the incident or event occurred.
  6. Why – This element is seldom relevant and usually self-gain.

  • The process of writing an effective and complete report takes training and practice to become competent. The security officer must have a good understanding of the English language and have the ability to put information in an understandable and logical sequence of events.
  • ●  A report will be viewed by more than the security supervisor and his agency. Most reports will involve the police, courts, contracting agency personnel, insurance companies, victims, witnesses, attorneys and suspects. This requires the report to be neat, accurate and factual.
